Saying something when someone loses a loved one is never easy. In English, even fluent speakers sometimes freeze, wondering if they’ll say the wrong thing. The good news? You don’t need perfect grammar. You just need sincerity.

The basic phrases everyone should know

These are safe, natural, and accepted in almost any situation:

  • “I’m so sorry for your loss.”
  • “My deepest sympathies go out to you and your family.”
  • “Please accept my heartfelt condolences.”
  • “Thinking of you during this difficult time.”

The first one is the most universal. Use it when you hear the news, in person or in writing. It’s direct and warm.

The second and third are a little more formal. Perfect for a condolence card to someone you don’t know very well, like a colleague’s parent.

The last one is softer. It’s good when you want to offer comfort without repeating “I’m sorry” multiple times.

In person vs. in writing

In person, keep it short. You don’t need to add a long story. A simple “I’m so sorry for your loss” followed by a quiet pause is enough. If you knew the person who died, you might say, “I have such fond memories of your father. He was kind to everyone.” Only say that if it’s true.

In writing, you have a little more space, but still avoid rambling. A short note like this works:

Dear Maria,
I was deeply saddened to hear about the passing of your mother. She was a wonderful person and I’ll always remember her smile. Please know that I’m thinking of you. With love, [Your Name]

Notice: it acknowledges the loss, mentions a positive memory, and ends with support.

What to avoid

  • Don’t say “I know how you feel” – you don’t, even if you’ve experienced a similar loss.
  • Avoid “At least he’s in a better place” unless you’re certain of the person’s beliefs.
  • Never say “It was time” or “She lived a long life” – that can sound dismissive.

Stay away from clichés that try to explain or rationalize grief. Your job isn’t to fix anything. It’s to show you care.

A simple structure for any condolence message

Here’s a three‑step pattern you can follow:

  • “Our thoughts are with you and your family at this time.”
  • “Please take all the time you need – we are here to support you.”

If you’re sending an email on behalf of a team, keep it short and let everyone sign it together. It feels more genuine than a long corporate message.

Quick tip: pronunciation of “condolences”

The word is pronounced /kənˈdoʊlənsɪz/ – stress on the second syllable. Don’t rush it. Saying it slowly and softly actually sounds more caring.
