写一份英文产品手册听起来像是技术作家的正式工作。但如果你的公司面向国际市场，你可能就是那个需要把它整理出来的人——而你又不是母语者。我也经历过这种情况，盯着半成品的手册发愁：为什么我的句子总显得拗口？
好消息是：你不必追求完美的语法或庞大的词汇量。只要结构清晰、表达明了就行。下面按步骤来看看怎么做。
先制定一个清晰的大纲
每份手册都有相同的骨架。在写第一句话之前，先把以下章节列出来：
- 安全信息（警告、预防措施）
- 包装内容（配件列表）
- 安装/设置（开始使用产品的步骤）
- 操作（日常使用方法）
- 故障排除（常见问题与解决办法）
- 保养与维护（清洁、存放）
- 技术规格（尺寸、重量、电源）
这个顺序很自然——先安全，再基础设置，随后深入使用。别为了“创意”而乱改顺序，用户期望的是可预见的流程。
举例：如果你在写咖啡机手册，你的大纲可能是这样：
手册结构 – 咖啡机
热表面
水壶、滤网、勺子
加水、放滤网
按下冲泡键
无热、漏水
写简短、主动的句子
我在非母语手册里最常见的错误是：长句、被动语态。
“The power cable should be connected to the wall outlet before the device is turned on.”
这句话显得很弱。
改成主动式：
“Plug the cable into the wall. Then turn on the device.”
简单规则：
- 用 祈使句（命令形式）：“Press the button.” “Remove the lid.”
- 尽量把句子控制在 15 个单词以内。
- 每句话只给出一个指令。
坏例：
“To start the motor, you have to first check that the battery is fully charged, then insert it into the slot, and finally press the start button for two seconds.”
好例：
“Check the battery is fully charged. Insert it into the slot. Press and hold the start button for two seconds.”
更易懂，对吧？读者可能正忙着在深夜组装书架，别再让他们的焦虑加剧。
统一术语
为每个部件选一个词并坚持使用。若第 1 步说 “button”，第 5 步不要改成 “switch” 或 “key”。这会让非母语读者困惑。
写前先做一个小词汇表——决定你永远用 “device”（而不是 “unit” 或 “machine”）、“lid”（而不是 “cover”）、“slot”（而不是 “opening”）。把它记下来，写作时随时检查。
别为了显得高大上而乱用同义词。
“Press the button.” 就够了。不要写 “depress the button” 或 “activate the button”。简洁的英语更易被接受。
添加清晰警告
安全警示要突出。使用统一格式：WARNING 或 CAUTION 加粗，然后是危险点和应对措施。
例子：
WARNING: Risk of electric shock. Do not operate near water.
CAUTION: Hot surface. Do not touch during use.
不要把警告埋在段落里。它们应该单独占一行，最好配上图标或框。在文字中使用加粗甚至大写来强调。
用编号列表拆分步骤
给出指令时，用数字而不是项目符号。数字能告诉读者确切顺序。
更换滤网的方法：
- Turn off the device and unplug it.
- Open the front panel.
- Pull out the old filter.
- Insert the new filter until it clicks.
- Close the panel and plug the device back in.
每一步都是单一动作。编号列表还能帮助用户在查看时快速定位。
用视觉提示（即使是文字）
如果无法插入真实图片，至少要清晰描述位置。使用 “left”“right”“top”“bottom”“inside”等空间词。避免像 “near” 或 “beside” 这样模糊的词。
坏例：
Place the part near the middle.
好例：
Place the bracket on the left side of the base, aligned with the two holes.
英语中的介词很棘手——“on”“in”“at”“by”，但在手册里可以非常字面化：“Set the cup on the flat surface.” “Insert the cable into the port.”
检查冗余
删掉所有不增添意义的词。
“In order to” → “to”。
“As a means of” → “to”。
“For the purpose of” → “to”。
示例裁剪：
Before: In order to ensure that the device does not overheat, you should make sure that the ventilation slots are not covered.
After: Keep ventilation slots uncovered to prevent overheating.
一半词语，信息不变。
用初学者测试你的手册
终极检验：把手册交给从未见过该产品的人。观察他们跟着做时停在哪儿、哪里卡住？那就是你需要澄清的地方。
如果他们问 “What does 'securely attach' mean?”——改成 “Push the tab until it clicks into place.”
你不必成为莎士比亚，只要能被理解即可。
写英文产品手册其实是同理心的体现，而不是语法规则。读者想用产品，别让他们在分析你的文字风格上浪费时间。先有结构，再把句子压缩成短小精悍，最后一定要用真实用户来测试。
