我记得自己在伦敦第一次做活动策划的工作。那时,我能把会议安排好——但用英语解释计划却是另一回事。我总是把“venue”和“vendor”混淆,甚至一次告诉客户我们会提供“seafood”,其实是想说200位嘉宾的座位(seating)。他一脸困惑,我自己也尴尬不已。

活动前:规划与协调

这段时间是大部分工作的核心。你会给客户发邮件、跟供应商谈判、敲定细节。把这些词记牢。

Venue(场地) – 事件发生的地点。

“We need a venue that holds at least 300 people.”
“我们需要一个能容纳至少三百人的场地。”

Vendor(供应商) – 提供服务的公司或个人(餐饮、装饰、视听)。

“I'm meeting the vendor to confirm the menu.”
“我会见供应商确认菜单。”

Logistics(后勤) – 背后的组织工作。

“Logistics include transportation, setup time, and equipment delivery.”
“后勤包括交通、布置时间和设备交付。”

Headcount(人数) – 参与者的总数。

“Can you confirm the final headcount by Friday?”

Agenda(议程) – 活动中发生事项的时间表。

“Send the agenda to all speakers two weeks before.”

Deposit vs. Final Payment(定金与尾款) – 定金提前支付,尾款在活动后付清。

活动期间:现场沟通

这里节奏快,你需要简洁明了的英语。

Load-in(设备到位) – 设备和材料抵达时间。

“Load-in starts at 7 AM. Vendors can enter through the back door.”

Registration / Check-in(登记/签到) – 嘉宾签名处。

Run of show(节目流程) — 现场常用的日程表。

  • “We're on schedule.” / “We're running behind by 10 minutes.”

活动后:跟进与收尾

活动结束并非到发票付清、反馈收集完毕为止。

Debrief(总结会议) – 讨论哪些做得好,哪些需要改进。

“Let's schedule a debrief for Monday morning.”
“我们安排周一上午的总结会议。”

Post-event survey(后续调查) – 发给参与者的反馈表。

“Send the survey within 24 hours.”
“请在24小时内发送调查问卷。”

Final invoice(最终发票) – 最后一张账单。

“I'll email the final invoice tomorrow.”

Reconciliation(核算) – 对照预算检查费用。

“Reconciliation takes about two days.”

正式 vs. 口语:挑选合适的语气

小贴士:与新客户的第一封邮件最好保持正式。建立信任后可以放松。但在场地和供应商面前,除非你们相熟,否则请始终保持专业。
