A client once forwarded me an email they’d received from a vendor. Subject line: “Your welcome for the discount.”
It wasn’t a joke. The vendor meant “You’re welcome” — and the mistake cost them a bit of trust. Small grammar errors can make you look careless, especially in business emails where every word counts.
But here’s the good news: most errors are easy to fix once you know what to look for. Below are the ten most common grammar mistakes I see in professional emails, along with simple corrections. No jargon, no fluff — just practical help.
1. Your vs. You’re
Wrong: Your going to love the new report.
Right: You’re going to love the new report.
“Your” 表示所属(your report)。 “You’re” 是 “you are” 的缩写。说到 you are 时一定要加撇号。快速提示:把句子朗读出来,把那个词换成 “you are”。如果合适,就用 “you’re”。
2. Its vs. It’s
Wrong: The team will share it’s feedback tomorrow.
Right: The team will share its feedback tomorrow.
这点几乎让所有人都犯错。 “Its”(无撇号)是所属格——像 its color 或 its deadline。 “It’s” 永远表示 “it is” 或 “it has”。在打撇号前先问自己:这里的 it is 合不合适?如果不合,就去掉撇号。
3. There, Their, They’re
Wrong: Their going to send the invoice to there office.
Right: They’re going to send the invoice to their office.
- There = 地点(放在 there)
- Their = 属于他们(their team)
- They’re = they are
记住:如果能换成 “they are”,就用 they’re;是地点,用 there;其他情况都用 their。
4. Subject‑Verb Agreement with Collective Nouns
Wrong: The team are meeting at 3 PM.
Right (US English): The team is meeting at 3 PM.
在美国商务英语里,集体名词(team、company、committee)通常视为单数。英国英语有时用复数,但正式的美式邮件最好保持单数。例外:当团队成员各自行动时(The team have different opinions),但这在商业写作中很少见。
5. Misplaced Modifiers
Wrong: After reviewing the documents, the printer was broken.
Right: After reviewing the documents, I noticed the printer was broken.
“after reviewing the documents” 应该修饰谁做了审阅。错误版本让人误以为打印机在审阅文件。把修饰语放到它所描述的主体旁边即可。
6. Then vs. Than
Wrong: This proposal is better then the last one.
Right: This proposal is better than the last one.
- Than 用于比较(bigger than,better than)
- Then 用于时间顺序(first this, then that)
比较两件事时只能用 than。
7. Run‑On Sentences (Comma Splices)
Wrong: I’ll finish the report by noon, then I’ll send it to you.
Right: I’ll finish the report by noon, and then I’ll send it to you.
单个逗号无法连接两个完整句子。可以加连词(and、but、so)或拆成两句话。另一种做法:I’ll finish the report by noon; then I’ll send it to you.
8. Dangling Participles
Wrong: Walking into the meeting, the agenda was confusing.
Right: Walking into the meeting, I found the agenda confusing.
与 misplaced modifiers 类似,悬挂分词让读者不清楚动作指向谁。确保主句的主体是执行分词所描述动作的人或事。
9. Confusing “Affect” and “Effect”
Wrong: The new policy had a positive affect on productivity.
Right: The new policy had a positive effect on productivity.
简易规则:Affect(动词)= 影响;Effect(名词)= 结果。日常商务写作中,保持这个区分即可。
10. Double Negatives
Wrong: I don’t have no time for that meeting.
Right: I don’t have any time for that meeting.
标准英语里两个否定会相互抵消,变成肯定。Don’t have no time 实际上意味着你 有 时间。要表达缺乏,用 any 或改写:I have no time(单一否定)。

大多数语法错误在慢下来、真正朗读时会显现。耳朵能捕捉到眼睛忽略的细节。在点击发送前,先把邮件大声读出来——哪怕觉得有点傻,你至少能抓住一半以上的问题。
