Essential English Vocabulary for the Hospitality Industry: Hotel and Restaurant Phrases

Learn the most useful English phrases for hotel and restaurant work. Practical vocabulary for front desk, housekeeping, and serving guests.

4 min read

If you work in hotels, restaurants, or tourism, you already know the feeling. A guest walks up to you and asks something you didn't study in your English class. "Could you kindly freshen up the room?" "Is there a corkage fee?" You freeze.

The truth is, most hospitality conversations follow predictable patterns. Once you learn the common phrases, you'll handle them without thinking twice.

Here are the phrases that actually come up daily β€” split by where you work.

Hotel English: Front Desk & Housekeeping

Checking Guests In

The first interaction sets the tone. Keep it warm but professional.

  • "Do you have a reservation under that name?"
  • "May I see your passport or ID, please?"
  • "I'll need a credit card for the incidentals deposit."
  • "Your room is on the 4th floor. Take the elevators to your right."
  • "Breakfast is served from 7 to 10 in the lobby restaurant."

If something goes wrong (overbooking, no record), you'll need:

  • "Let me check with my manager. One moment, please."
  • "I'm sorry for the inconvenience. Let me find a solution for you."

Handling Guest Requests

Guests ask for things you don't always expect. These three phrases cover most situations:

  • "Certainly, I'll arrange that right away."
  • "Would you like a late checkout? It's available until 2 PM."
  • "I'll send someone from housekeeping to your room shortly."

Housekeeping-specific:

  • "When would you like your room freshened up?"
  • "Do you need extra towels or toiletries?"
  • "Please hang the 'Do Not Disturb' sign if you prefer not to be disturbed."

Typical Guest Check-in Flow

1. Greet β€” "Welcome to Grand Hotel. Do you have a reservation?"
2. Verify β€” "May I see your passport, please?"
3. Payment β€” "I'll need a credit card for the deposit."
4. Keys & Info β€” "Here are your keys. Breakfast is from 7 to 10."

Restaurant English: Serving Customers

Seating & Greeting

The first question is almost always the same. Have your answer ready.

  • "Do you have a reservation?"
  • "How many guests will be dining today?"
  • "Would you like a table indoors or on the terrace?"
  • "There's a 15-minute wait. Can I take your mobile number?"

Once seated:

  • "Your server will be with you shortly."
  • "Can I start you off with water or any drinks?"

Taking Orders

Misunderstandings here cause real trouble. Be clear. Repeat back.

  • "Are you ready to order, or would you like a few more minutes?"
  • "Do you have any allergies or dietary restrictions?"
  • "I'll repeat that back to you. You'd like the grilled salmon, medium-rare, with steamed vegetables."

For drinks:

  • "Would you like still or sparkling water?"
  • "Can I see your ID for the wine order?"

Handling Problems & Payments

Things go wrong. How you respond matters more than the mistake.

  • "I sincerely apologize. I'll have the kitchen remake this right away."
  • "I'll take this off your bill."
  • "Would you like to speak with the manager?"

Final interaction:

  • "Would you like a box for the leftovers?"
  • "I hope everything was to your satisfaction."
  • "Here's your check. Take your time."

A Quick Tip That Helps

Don't memorize phrases like a robot. Instead, learn the question patterns. Most hospitality English follows a simple structure:

"Would you like...?" β†’ for offers
"Would you like a window seat?"

"Do you have...?" β†’ for information
"Do you have a reservation?"

"Let me..." β†’ for actions
"Let me check the availability."

Plug in different words, and you've got hundreds of sentences. That's more useful than memorizing one phrase at a time.
