I remember my first remote meeting with a team in London. I knew my technical English was decent, but when someone said “Let’s take this offline,” I froze. Offline? We were already on a video call. Turns out, it just meant “stop discussing this now and talk about it later.”

That kind of confusion happens all the time. Remote work has its own vocabulary—words and phrases that might not make sense at first but are essential for sounding natural and professional. If you're learning English for work, these are the ones you’ll hear every day.

Here’s a practical guide to the remote work English vocabulary you actually need.

Tech Tools & Setup

Before you can speak, you need to be on the call. These terms will get you there.

  • Bandwidth – Not just internet speed. “I don't have the bandwidth” can also mean “I'm too busy.”
Example: Can you take the lead on this? I don't have the bandwidth right now.

  • VPN (Virtual Private Network) – A secure connection to your company’s network.
Example: Make sure your VPN is on before accessing the internal files.

  • Share screen / Screen share – Showing your computer screen to others.
Example: I’ll share my screen so you can see the dashboard.

  • Mute / Unmute – Turn your microphone on or off.
Example: Please mute yourself when you’re not speaking.

  • Drop / Lag – Connection problems.
    Example: You’re breaking up. I think there’s a lag.

Tip: If you hear “You’re on mute,” it’s not an insult. It means no one can hear you.

Virtual Meeting Phrases

Meetings have their own rhythm. Learn these phrases to follow the flow.

Starting the Meeting

  • “Let’s get started.” – Simple and direct.
  • “Is everyone on the call?” – Checks attendance.
  • “Can you hear me okay?” – Common first question.

During the Meeting

  • “Let’s circle back to that.” – We'll discuss it later.
  • “I’ll take that offline.” – I’ll handle it after the meeting.
  • “Put this on the parking lot.” – Save it for another meeting.
  • “Can you share your screen?” – Show what you’re talking about.

Ending the Meeting

  • “Any questions?” or “Any other business?”
  • “Let me recap the action items.” – Summarise what everyone needs to do.
  • “Thanks everyone. Great call.”

Practice exercise: Next time you join a meeting, listen for three of these phrases. Write them down with the context. You’ll start using them naturally in a week.

Soft Skills & Collaboration Vocabulary

Remote work isn’t just about technology—it’s about communicating clearly.

  • Reach out – Contact someone.
Example: I’ll reach out to the design team for the new assets.

  • Touch base – Check in quickly.
Example: Let’s touch base on Friday to review progress.

  • Proactive – Taking initiative.
Example: Please be proactive about updating the shared document.

  • Align – Make sure everyone agrees.
Example: Let’s align on the deadlines before we start.

  • Loop in – Add someone to the conversation.
Example: I’ll loop in Sarah from HR.

These words make you sound confident and team-oriented. They also help you avoid misunderstandings.

Common Email & Chat Terms

Remote work relies on written communication too. You’ll see these often:

Phrase Meaning
FYI For Your Information
ASAP As Soon As Possible
EOD End of Day
OOO Out of Office
NRN No Reply Needed (less common, but useful)

Example: The report is due EOD Friday. FYI, I’ll be OOO tomorrow.

A Few Quick Tips

  1. Don’t be afraid to ask. If you don’t understand a phrase, say “Could you clarify what you mean by that?” It’s professional, not embarrassing.
  2. Watch the tone. In writing, be a little warmer than you think is necessary. “Thanks” goes a long way.
  3. Practice with real content. Watch short clips of remote meetings on YouTube (search “business meeting English”). Pause, repeat, and try to answer questions.
